Team Coordinator & Administrator

We are on the hunt for a highly organised Team Coordinator & Administrator to support our Business Development & Account Management Team. Ideally you’ll have a solid business administration background and a passion for contributing to excellent customer experiences and keeping your colleagues coordinated & efficient. We also need someone willing to examine where we can improve, who loves taking care of detail and enjoys learning new things. You’ll need to be highly collaborative, able to work effectively both independently and within a team. We believe this is a full-time role, but if you’re an incredible candidate in need of part-time hours (30+ per week), we’re open to discussion.
Whatever your background, you will definitely need to be:
incredibly organised with outstanding attention to detail, numerically, verbally, and in writing;
the possessor of impeccable written and spoken english;
ability to work unsupervised demonstrating independence and drive;
comfortable with a range of client-facing communications such as phone calls & emails, greeting and welcoming partners and other external stakeholders;
happy providing administrative support to keep the team coordinated and efficient;
comfortable with technology, using it, supporting it and learning new things;
curious and inherently motivated by review, feedback and improvement;
able to work both independently and collaboratively;
willing to go the extra mile to make our partners & stakeholders happy;
be flexible and highly adaptable to ever changing priorities;
able to pick up new things quickly and take ownership;
great at working to deadlines and juggling competing priorities;
excellent at wrangling people and information to keep our internal teams on track
competent compiling statistics/ data for report creation;
Some of the practical day-to-day things you can expect to be doing:
answering phones, meeting & greeting our clients and building strong relationships with them;
acting as the internal and external gatekeeper for the team;
collating financial information and reporting;
coordinating meetings, taking minutes, prepare task lists/outcomes reports, & chasing actions to be completed;
ensuring your team is thoroughly prepared for meetings;
designing, maintaining and updating folders/file systems to record team meetings, initiatives etc;
helping the team to track their goals and targets;
making sure client feedback is sought, communicated and actioned;
Managing our CRM;
supporting key members of the team with their organisation and administration needs;
Skills, Experience & Education:
You will definitely have relevant professional experience. We don’t want to prescribe what that experience might look like but it would be advantageous if you had at least 3 years business administration under your belt. Experience supporting a Sales function would be advantageous, as would experience with a Software or Technology business.
