We are on the hunt for someone who is a talented, experienced and super-organised Office Manager to cover our Office Manager & Administration needs two days per week. Our candidate will also need a strong finance background as the other three days per week you will be a finance assistant supporting our internal finance team to maximise their efficiencies and play to their strengths. That means you will need a solid business administration background as well as a suitable finance/ accounting qualification.

About you:

Whatever your background, you will definitely need to be: 

  • fundamentally self-motivated;

  • incredibly organised with outstanding attention to detail, numerically, verbally, and in writing;

  • the possessor of impeccable written and spoken english;

  • able to work unsupervised demonstrating independence and drive;

  • comfortable with reception duties such as phone calls, greeting/ communicating with partners and other external stakeholders;

  • happy providing administrative support; 

  • comfortable with technology, using it, supporting it and learning new things;

  • able to work both independently and collaboratively;

  • highly proficient with Excel, and G-suite tools; 

Some of the practical day-to-day things you can expect to be doing:

  • booking travel, conferences & managing expense claims;

  • answering phones, meet & greet  and handling support desk queries;

  • internal and external gatekeeper, responsible for various administrative duties;

  • monitoring & managing office supplies & budget;

  • manage end-to-end project cost reporting;

  • develop & deliver financial insight reports;

  • perform P&L analysis

  • Review and perform audits on financial statements and reports;

  • Identify, investigate and report on discrepancies

  • daily reconciliations;

  • accounts inbox management;

  • develop financial information and reporting to teams to drive their improvement;

  • management and upkeep of various company registers;

  • facilitating onboarding & offboarding of new hires;

  • lead  internal meetings, processes & initiatives as requested (project coordination or project management background or  study would be advantageous). 

Skills, Experience & Education

You will definitely have relevant professional experience. We don’t want to prescribe exactly what that experience might look like but you should certainly have some direct experience in an Office Manager/ intermediate business administration background. You will absolutely require a finance qualification as well as 2-3 years direct post-qualification experience using that qualification in a business context. It would certainly be  advantageous if you had  project coordination or project management study or experience as well.
